As our People Operations & Workplace Manager, you will be fully in charge of running our office, ensuring it’s an organized, efficient, and vibrant space that reflects our culture. You’ll take ownership of all workplace operations, office services, and the planning of team events and activities that bring people together. Alongside this, you’ll handle the full scope of local HR administration, including recruitment coordination, onboarding, training support, employee documentation and day-to-day HR queries acting as the go-to person for all people-related matters on site.

Office & Workplace Management

  • Ensure the smooth day-to-day running of the Malta office, including facilities, supplies, equipment, and supplier coordination
  • Create a positive, well-organized and welcoming work environment aligned with our company culture.
  • Lead the planning and execution of office events, celebrations, and team-building activities
  • Act as the main point of contact for all office-related matters, ensuring an excellent on-site employee experience

HR Operations & Administration

  • Support the full employee lifecycle, including onboarding, offboarding, and internal transitions  
  • Coordinate recruitment processes locally, including interview scheduling and candidate communication
  • Maintain accurate employee records and ensure compliance with internal processes and legal requirements
  • Support training logistics, internal communication initiatives, and local HR policies and procedures
  • Be the local go-to person for HR-related queries, working closely with the central People team

Qualifications

  • Excellent verbal and written communication both in English and Spanish
  • Prior HR and facilities management experience required
  • Excellent computer proficiency (MS Office – Word, Excel, Power BI etc.)
  • Proven team player with the ability to be self-motivated and work on own initiative.
  • Can build relationships with colleagues, and key stakeholders locally and remotely.
  • Forward thinking with the ability to plan
  • Highly organised and structured
  • Flexible and can respond to changing environments.
  • Discreet and confidential
  • Strong attention to detail
